As leaders in pre-university education the team at Monash College support international students to thrive at university and establish successful careers. Owned by Monash University, the College plays a key role in extending Monash’s presence in global networks. Their mission is “transforming student’s lives” and they do this through a range of high-quality educational and work-readiness programs.
Monash College desired a new integrated intranet portal to deliver complete employee experience by improving communication and collaboration across their multi-campus network, and enhancing the structure and accessibility of user content. The College’s existing intranet solution was cumbersome, lacked relevant search functionality, was visually dated and onerous to update. To assist Monash College achieve their long-term vision of creating an engaging and collaborative employee experience, they were seeking a solution to deal with information flow that would be able to manage an expansion in business operations.
Monash College engaged Kloud to deliver a highly engaging collaborative experience for their employee networks. Kloud proposed to deliver the new intranet in five key phases to meet the College’s long-term goal and to build on the foundation for functionality delivered in previous phases. In the first phase of the project Kloud delivered Monash College’s Intranet on SharePoint Online, within the Monash University Microsoft Office 365 environment.
Kloud adopted an Agile (Scrum) methodology for development, which involved breaking down the project into stages to achieve the desired outcome for Monash College. The first stream required engaging with key stakeholders and working groups to identify issues with the previous intranet and to assist in the custom development and delivery of the new portal. Kloud worked with Monash College closely to review the requirements of the intranet in order to build, test and deploy the final solution.
Within a short timeframe of eight weeks, Kloud created the College’s new intranet using SharePoint Online. Individual website pages and components were designed and configured within the portal collection site, including; news and announcements, quick links, calendar, personal profile pages, homepage search and result refiners, feedback tool, ‘How do I’ self-service section and workflows for policies and procedures bank.
To measure the benefits Monash College undertook an analysis of intranet users after the launch to benchmark against their previous solution.
